Hello. I’m Yukiko Horiuchi, a certified administrative scrivener at the Horiuchi Administrative Scrivener Office.

When a transfer from an overseas head office to a Japanese corporation/branch is decided, you need to prepare the visa early to match the company's schedule. Because documents must be gathered both at the overseas head office and in Japan, many people find it confusing at first.

On this page, we look at the status of residence "Intra-company Transferee", commonly called the "expatriate visa": its requirements, required documents, bringing family members, and the support our office provides.

Key Points of This Page

  • "Intra-company Transferee" is a status of residence for people transferring from an overseas office to an office in Japan within the same corporate group.
  • You must have worked continuously at the overseas office for at least 1 year immediately before the transfer.
  • Documents from the overseas head office and from the Japanese side are prepared together, and documents in foreign languages require Japanese translations.

1. What kind of status of residence is "Intra-company Transferee"?

It is a status of residence for employees of an overseas head office, branch, affiliate, etc. who are transferred for a fixed period to a head office, branch, subsidiary, etc. in Japan to engage in work falling under "Engineer/Specialist in Humanities/International Services".

Unlike "Engineer/Specialist in Humanities/International Services", there is no educational requirement such as a university degree. Instead, what matters is that the transfer is within the same corporate group and that you have work experience at the overseas office.

2. What are the requirements?

Key Requirements

  • The overseas company and the Japanese office are the same corporation, a parent company, subsidiary, affiliate, etc.
  • You have worked continuously at the overseas office for at least 1 year immediately before the transfer (in work falling under "Engineer/Specialist in Humanities/International Services")
  • The work you will do in Japan falls under "Engineer/Specialist in Humanities/International Services"
  • The documents to prepare differ depending on whether the Japanese base is a branch, a local corporation, a representative office, etc.

The documents to prepare differ depending on whether the Japanese base is a branch, a local corporation, a representative office.

3. What documents are required for the application?

Documents prepared by the overseas head office

  • Certificate of employment (confirming at least 1 year of work before the transfer)
  • Personnel transfer notice / transfer order
  • Corporate registry extract and company profile
  • Materials showing the relationship with the Japanese base (capital relationship, etc.)

Documents prepared by the Japanese side and the applicant

  • Certificate of registered matters of the Japanese base (for branches and corporations)
  • Financial statements (business plan if just established)
  • Copy of passport and ID photo (4 cm high × 3 cm wide)
  • Resume

Documents issued overseas require Japanese translations. We also handle translations, and for the Intra-company Transferee visa, translation of foreign documents is free up to 10 pages (one side of an A4 original counts as 1 page; from the 11th page, 2,200 yen (tax incl.)~ per page). Korean documents are also supported.

4. Can family members come to Japan too?

Your spouse and children can stay in Japan with you under the "Dependent" status of residence. Preparing their applications together with yours makes the schedule easier to coordinate, so please let us know at the consultation if family members will accompany you.

5. Support Services and Fees

Since most required documents for the Intra-company Transferee visa are prepared by the company, there is only one plan. Everything from listing required documents and preparing the application to filing with immigration, receiving the result and collecting the residence card is included, and translation of foreign documents is free up to 10 pages.

Service Details

  • Consulting Services
  • Listing and Verifying Required Documents
  • Assistance with and Review of Application Forms and Supporting Documents
  • Submission of Applications to the Immigration Services Agency and Other Agencies, and Receipt of Results
  • Analysis of reasons for denial, advice on reapplying, and accompanying you to the bureau
  • Receiving Your Residence Card
  • Translation of foreign documents (free up to 10 pages)

You can check the fees in the price list on the "Visa Applications" page, along with additional fees and actual expenses.

summary

The biggest feature of the Intra-company Transferee visa is that documents are prepared at two places: the overseas head office and the Japanese base. Once the transfer schedule is decided, first check your period of employment at the overseas office and the form of the Japanese base.

We hope this page helps you prepare for a transfer to Japan and for receiving expatriate staff. If you have any questions, please feel free to contact us.
